PA – Digitization and automation of grant disbursement processes

Use Case
Application & Logistics

The Challenge

A Directorate-General within the cultural heritage sector manages the annual allocation of grants through public calls for proposals. Although applications were submitted online, until 2024 the entire process of processing, evaluating, and managing them was based entirely on manual procedures. The challenge was to digitize the entire lifecycle of the call for proposals to eliminate operational inefficiencies, reduce the risk of human error, and ensure greater transparency in the monitoring of applications.

The Solution

An advanced portal has been developed for the completion and submission of applications, accessible with complete security via SPID/CIE authentication. At the heart of the solution is its integration with our ZOON Intelligent Business Process Management platform, which automatically manages the registration of requests and guides them through the evaluation process according to predefined rules until the final outcome. This approach has transformed a fragmented process into a linear, traceable, and fully automated workflow.

The Benefits

Automation has led to a significant reduction in processing times and strict adherence to deadlines. The client now has a scalable platform that ensures full traceability at every stage, improves collaboration between departments, and allows users to check the status of their requests in real time, thereby ensuring complete administrative transparency.

Humanativa’s role

HUMANATIVA led the digital transformation of the process, overseeing both the development of the front-end portal and the implementation of the ZOON workflow engine. The Group’s distinctive value lies in its ability to transform a complex, manual process into an end-to-end digital system, ensuring a solution that can be easily adapted to future regulatory or organizational requirements.
